The ability to obtain and maintain a US Secret Security Clearance is required.

PAE is seeking a Project Coordinator to assist the Senior Travel Coordinator in the handling of all corporate travel related duties and responsibilities. 

Responsibilities Include:

  • Coordinate and implement every aspect of travel arrangements for staff and executives.

  • Respond to inquiries from the field staff and scheduling decisions

  • Ability to develop, monitor and report on project and contract deliverables

  • Ability to comprehend travel schedules of multiple project teams.

  • Ability to review and create travel itineraries

  • Ability to identify most suitable travel plans, as well as best quality service with reasonable rates

  • Conduct research on optimal travel alternatives

  • Convey tentative itinerary to respective management/traveler for approval

  • Confirm reservations, and distribute tickets along with confirmations to travelers

  • Ability to perform data entry into travel booking system.

  • Ability to track and report on the status of travel requests.

  • Process all visa applications and deliver the applications to the Embassy/Consulate

  • Track and report on the status of visa requests.

  • Prepare all passport applications

  • Prepare all outgoing Electronic Country Clearances

  • Maintain queues to assure approvals are attained and deadlines are met

  • Effectively communicate and coordinate with multiple employees and vendors.

  • Resolve organizational travel related technical conflicts

  • Review travel associated invoices and statements for accuracy relating to accounting purposes

  • Research and resolve all incorrect charges with respected to travel program

  • Ability to learn, monitor and report on travel policies and procedures.

  • Ability to work independently.

  • ​Any other project management tasks as required.

  • Travel can be up to 25%. Travel locations are typically non-high threat post areas.


• Bachelor’s degree in marketing, communications or similar discipline, or equivalent experience required.

• Experience working on a government program in an analyst capacity desired.

• Experience developing effective oral and written communications desired.

• PowerPoint, Excel, and Word capability required.

• Experience analyzing contracts and data.

• Excellent verbal and written communication skills required.

• Marketing experience preferred.

  • Active Secret Clearance
