Medical Receptionist / Administrative Assistant
The Atlantic Undersea Test and Evaluation Center (AUTEC) Mission is to provide Naval Warfare Centers, the Fleet, and other customers with accurate undersea, surface, and in-air three-dimensional tracking data and other unique Atlantic test facilities. In support of Research, Development, Test and Evaluation (RDT&E), and Fleet readiness assessment and training. AUTEC is a Major Range and Test Facility Base (MRTFB) and the Naval Undersea Warfare Center, Division Newport's largest single team project, providing both deep and shallow water test and training environments.
The Medical Receptionist /Administrative Assistant responsible for the front office reception desk and clerical functions on the AUTEC Project.
Greeting visitors/patience to the Dispensary.
Operating the Dispensary phone system.
Maintaining a logbook of all patients entering the Dispensary for medical reasons.
Establishing, maintaining, and making available a medical chart for all individuals who are seen in the Dispensary for medical business.
Removing files of terminated employees and placing in proper storage area.
Assisting in Medical Evacuations including the Priority A and Medevac procedures, paperwork, and distribution of the initial and final forms to the appropriate departments.
Assisting in collecting and sending the appropriate chart copies or information to any entity for medical and medical/legal purposes while assuring that appropriate legal authorization is obtained for this information transmittal.
Maintaining a log of all individuals who require Occupational Medical Surveillance Examinations, which Surveillance Examinations are required, anniversary dates for the required examinations, and notification of individuals and managers of these anniversary dates.
Gathering the appropriate Occupational Physical Examination paperwork for each individual’s scheduled examination, instructing and assisting the individual in filling out the necessary forms, and after completion of the examination replacing the various data sheets appropriately in the chart.
Ensuring the individual and the manager obtains a copy of the appropriate forms.
Maintaining a log of all individuals who are delinquent in obtaining required Occupational Surveillance examinations.
Notification of the individuals, their managers, the Base Operations Manager, and the ES&H Manager of Delinquent examinations on a monthly basis via e-mail.
Order and receive necessary supplies via the Maximo system.
Create requisitions for renewal of service contracts, resource literature, and professional organizations in Maximo system.
Submit work orders to Work Control.
Coordinate with Shipping & Receiving for Chain of Custody and Quest Laboratory specimen pick-up and shipping.
Obtain data from Quest Laboratories via intranet connections or telephone regarding patient blood chemistry values.
Maintain Laboratory Log.
Maintenance of Office supply inventory.
Mail monthly monitoring strips for the autoclave sterilizer and the periodic radiation monitoring badges.
Maintain and disperse accident and injury reports.
Assisting in scanning and e-mailing Substance Testing data to the appropriate individuals.
Compilation of demographic data and medication use for monthly reports as well as assist in preparing the required monthly reports.
Assist in producing, tracking, and maintaining the required end of month reports.
Assist in Low Speed Vehicle maintenance schedule.
Maintain the document shredder, scanner, and copy machines.
Coordinate the Hazwaste storage and disposal.
Coordinate with supply and Fire Rescue regarding the Medical Oxygen supplies.
Assist in the access of Navy personnel to the Corpsman including telephoning or paging the Corpsman when necessary.
Assist with the Dispensary laundry.
Coordinating with the Dispensary Medical Staff to ensure Housekeeping performs adequately and reporting inadequate cleaning/scheduling to the appropriate supervisor.
Assist in obtaining distilled water from the various dispensers maintained on base.
Assist with Property Control issues including MDR, registering new equipment, and quarterly/yearly property control audits.
Assist in scheduling the equipment calibrations that require outside agents have access to our equipment such as the audiometer, adult and infant scales, i-Stat blood analyzer, CBC blood analyzer, and defibrillator/pacer/cardiac monitor.
Maintaining security of the receptionist’ charting area to ensure absolute confidentially of medical records by ensuring restricted access to the records, records area, and maintaining the records in locked files when not in attendance of the area.
Other duties as assigned.
High School diploma or equivalent
Basic Life Support Certification
Must obtain CPR certification.
Knowledge of Blood Borne Pathogen and Hazmat regulations and concerns as specifically related to a Medical Environment.
Interpersonal skills including telephonic communications and Receptionist skills as well as interacting with individuals who may be experiencing great personal distress.
Computer skills including facile use of Word, Excel, Power Point; internet and Fax/scanner machine use skills
Ability to effectively multi-task under pressure
Computing skills highly developed to perform the required jobs
Yearly Hazmat and Blood Borne Pathogen training specific to the Medical environment as well as other required Applied Assurance, required government, and Vision training.
Knowledge and strict adherence to HIPAA (Health Insurance Portability and Accountability Act of 1996)
A valid driver’s license and passport required.
Must be able to reside in remote location with limited medical facilities.
This position requires the individual to be eligible to obtain a US Government security clearance; US Citizenship is required.
